5 Orders and payments

Our website and online store are provided using GoDaddy website and e-commerce services. Payments are handled by the payment service offered at checkout, which may include Square or another provider enabled by us. The payment provider processes your payment information under its own privacy notice and provides us only the information needed to confirm and manage the transaction.

We share the delivery information needed to fulfil your order with Royal Mail and any other courier or fulfilment provider used for that order.

6 Cookies and similar technology

Cookies and similar technologies are small files or identifiers used to operate websites, remember choices, measure activity and support marketing. We use:

·  Strictly necessary technology required for security, checkout, shopping-cart functions, network management and your privacy choices. This does not require consent where it is genuinely necessary.

·  Analytics technology, including Google Analytics, to understand how visitors use the website and improve performance. We use this only after consent where consent is required.

·  Marketing technology only if it is enabled on the website and you consent, to measure campaigns or show more relevant advertising.

You can accept or decline non-essential cookies through the website cookie banner. You can also use your browser settings to block or delete cookies, although some website functions may then work less effectively. Withdrawing consent does not make earlier processing unlawful.

Cookie providers, purposes and durations can change when website features are updated. We will keep our cookie information and consent controls under review and identify material third-party marketing technology if it is enabled.

7 Marketing

We will send electronic marketing to individuals only where we have a valid legal basis, normally consent or the limited customer soft opt-in permitted by law. Marketing messages will identify us and include a way to unsubscribe.

You can opt out at any time by using the unsubscribe link or emailing info@grazeguard.co.uk. We may retain a minimal suppression record so that we can respect your opt-out. Service messages about an order are not marketing and may still be sent where necessary.

8 Who we share information with

We share personal information only where necessary and may share it with:

·  GoDaddy and providers supporting website hosting, ecommerce, security and technical operations.

·  Payment, fraud-screening and banking providers used to process transactions.

·  Royal Mail and other delivery, fulfilment or returns providers.

·  Email, customer-support, analytics and marketing providers used under our instructions and your consent choices.

·  Professional advisers such as accountants, insurers, lawyers and regulatory consultants.

·  Police, courts, regulators, tax authorities or other bodies where disclosure is required or permitted by law.

·  A prospective buyer, investor, lender or successor in connection with a genuine business transaction, subject to appropriate confidentiality and data-protection controls.

We do not sell your personal information.

9 International transfers

Some technology and service providers may process personal information outside the United Kingdom. Where UK law requires a safeguard, we use an approved transfer mechanism such as UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another lawful safeguard. You may contact us for more information about the mechanism relevant to your information.

10 How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose collected, including legal, accounting, tax, product-safety, complaint and dispute requirements. Our usual approach is:

·  Order, invoice and core transaction records: normally six years after the end of the relevant financial year, or longer if required for a live dispute, recall or legal obligation.

·  Routine enquiries and customer-service correspondence: normally up to two years after the matter closes, unless linked to an order, complaint, safety issue or legal claim.

·  Marketing contacts: until you unsubscribe, withdraw consent or the information is no longer useful, with a minimal suppression record retained as needed to honour your choice.

·  Reviews and user content: while published or actively used, followed by an appropriate archive period, unless you ask us to remove content and we have no overriding reason to retain it.

·  Cookie and analytics information: according to the duration disclosed by the relevant consent tool or provider settings.

We may retain information for longer where necessary to establish, exercise or defend legal claims or comply with product-safety and regulatory duties. We may keep anonymised information that no longer identifies you.

11 Security

We use appropriate technical and organisational measures designed to protect personal information against accidental loss, unauthorised access, alteration or disclosure. Access is limited to people and providers who need it for legitimate business purposes. No internet service is completely secure, so please contact us promptly if you believe your information or account has been compromised.

12 Your data-protection rights

Depending on the circumstances, you may have the right to:

·  ask for access to your personal information and a copy of it;

·  ask us to correct inaccurate or incomplete information;

·  ask us to delete information in certain circumstances;

·  ask us to restrict how information is used;

·  object to processing based on legitimate interests and object at any time to direct marketing;

·  receive certain information in a portable, machine-readable format;

·  withdraw consent at any time where processing relies on consent; and

·  complain to the Information Commissioner's Office.

These rights are not absolute and exemptions may apply. We may need information to verify your identity. We do not normally charge a fee, but the law allows a reasonable fee or refusal where a request is manifestly unfounded or excessive.

To exercise a right, email info@grazeguard.co.uk. You can also complain to the Information Commissioner's Office (ICO). We would appreciate the opportunity to address your concern first.

13 Children

Graze Guard may be used in supervised youth sport, but our website and online store are intended for adults and are not directed at children. We do not knowingly ask a child to create a customer account, place an order or subscribe to marketing. A parent, guardian or responsible adult should place any order for a child. If you believe a child has supplied personal information to us without appropriate authority, please contact us.

14 Third-party sites and social media

Our website links to social-media services and other third-party websites. Those organisations control their own use of personal information. Their privacy notices apply when you visit them, even if you followed a link from Graze Guard.

15 Changes to this policy

We may update this policy when our services, technology or legal obligations change. The latest version will be published on this page with a revised date. We will give additional notice where a change materially affects how we use personal information and the law requires it.
